Privacy Policy
Effective date: August 18, 2026 · Last updated: August 18, 2026
The short version
- SealHire runs AI-powered job interviews for employers and recruiting teams. Candidates always know they're being recorded and consent explicitly before anything starts.
- Interview recordings, transcripts, and reports belong to the employer who invited the candidate — we process that data on their behalf. Candidates keep their own sealed interview record, free, forever.
- We don't sell personal data, we don't run advertising trackers on our site, and we don't use your content to train third-party AI foundation models.
- We detect whether a face is present and where attention is directed during interviews. We do not perform facial recognition or identify anyone from their face.
- Questions or requests: support@sealhire.ai.
1. Introduction
This Privacy Policy describes how SealHire, a product of Zaruda LLC("SealHire", "we", "us"), collects, uses, and shares personal information when you use our website (www.sealhire.ai), our web application, and related services (together, the "Services"). We are a company established in the United States. You can reach us any time at support@sealhire.ai.
Two roles, one platform.SealHire's responsibility depends on whose data is being processed:
- We act as a data processorwhen we handle personal information on behalf of our customers — the employers and recruiting agencies who use SealHire to interview candidates. Interview recordings, transcripts, evaluations, and reports are processed under the customer's instructions; the customer is the data controller and decides who is interviewed and who sees the results.
- We act as a data controller for information we process for our own purposes: operating our website, managing customer accounts, billing, security, support (including our AI support assistant), and improving the Services.
If you interviewed through SealHire because an employer invited you, that employer controls your interview data; privacy requests about a specific hiring process should go to them first — we will assist both of you (see Section 10).
2. Who this policy covers
- Visitors to www.sealhire.ai, including people who talk to our AI support assistant.
- Customers and their team members — recruiting agencies and employer hiring teams (owners, admins, recruiters).
- Hiring managers and reviewers invited to review candidates.
- Candidates invited to interview through SealHire.
3. Information we collect
Information you provide
- Account and contact information. Name, work email address, company/organization name, role, and password (stored as a salted hash — we never store plain-text passwords). Passwordless accounts (hiring managers; enterprise workspaces) sign in with one-time email codes instead.
- Candidate interview information. When you take an interview: your name and email (provided by you or the employer who invited you), an optional resume, and the interview itself — audio and video recordings, transcripts, and your responses. You explicitly consent on-screen before recording begins (see Section 5).
- Job and evaluation content. Job descriptions, interview requirements, rubrics, notes, comments, and hiring decisions entered by customers and reviewers.
- Billing information. Plan, subscription, and credit-usage records. Payment card details are collected and stored by Stripe, our payment processor — card numbers never touch SealHire's servers. Stripe's privacy policy: stripe.com/privacy.
- Support assistant and inquiries. If you use our website's AI support assistant, we collect the name, company, and work email you provide to start the conversation, plus the conversation itself and a summary we email to you. If you contact us by form or email, we collect what you send us.
Information collected automatically
- Usage and device information. IP address, approximate location derived from it (city, region, and country), browser and device type, operating system, pages viewed, referring site, campaign parameters, and actions taken — used to operate, secure, and improve the Services, including conversations with our AI support assistant (see Section 13).
- Interview integrity signals.During interviews (and only with the candidate's prior consent), we collect signals about the interview environment and behavior: device and browser characteristics, IP address and approximate (IP-based) location, tab switches, copy/paste events, camera coverage, face presence, and attention direction. See Section 5.
- Cookies. We use essential cookies only — session cookies that keep you signed in and keep the Services secure. We do not run third-party advertising or analytics trackers on our Services. If that ever changes, we will update this policy and, where required, ask for consent first.
Information from others
- From employers:if you're a candidate, the employer that invited you gives us your name and email to send your interview link.
- From your teammates: if a colleague invites you to a SealHire workspace, we receive your name, email, and assigned role.
4. How we use information
| Purpose | Examples |
|---|---|
| Providing the Services | Running interviews, generating transcripts and evaluation reports, sharing results with the inviting employer and their reviewers, operating accounts and workspaces |
| Communications | Interview invitations, sign-in codes, review notifications, receipts, support replies, and the summary email after a support-assistant conversation |
| Billing | Subscriptions, credit tracking, invoices, and payment processing via Stripe |
| Trust and integrity | Presenting integrity signals to the hiring team as context for a human decision (see Section 5) |
| Security | Preventing fraud and abuse, rate limiting, protecting accounts, monitoring for unauthorized access |
| Improving the Services | Understanding usage, fixing errors, measuring and improving interview quality |
| Legal | Complying with law, enforcing our terms, protecting our rights and our users |
About AI processing.SealHire's interviews and evaluations are powered by AI service providers (listed in Section 6) that process interview content — audio, video, and text — on our behalf to conduct the conversation, transcribe it, and generate evaluations. We use these providers through their business APIs. We do not use your content to train third-party foundation models, and we do not permit our AI providers to use your content to train theirs. We may analyze interview and usage data to improve SealHire's own service quality (for example, measuring whether our interviewer asked the right follow-up questions); this analysis serves our customers and is reviewed by humans.
Marketing. If you talk to our support assistant or contact us as a prospective customer, we may follow up about SealHire. Every marketing email includes an unsubscribe option, honored promptly. We do not send unsolicited marketing to candidates.
5. Interview recording and integrity monitoring
This is the heart of our product, so it deserves its own section.
- Explicit consent, before anything starts. Candidates see a plain-language consent screen listing exactly what will be collected — recording (audio and video), interview-behavior analysis, integrity monitoring, device and browser analysis, IP address, AI-assisted behavior detection, and camera-based attention monitoring. Nothing is recorded and no monitoring runs until the candidate agrees. Consent is versioned and stored.
- What integrity monitoring is. During the interview we detect signals such as tab switches, copy/paste, whether a face is present on camera, and where attention is directed. These signals are shown to the hiring team as context, not as an automated verdict — a human always makes the decision.
- What it is not. We do notperform facial recognition. We do not create biometric templates, match faces against databases, or identify anyone from face geometry. Face detection answers "is a person present and attentive?" — never "who is this?"
- Human in the loop.AI-generated scores and reports are decision support. Hiring decisions are made by the employer's humans, not by SealHire.
6. How we share information
We do not sell personal information, and we do not share it with third parties for their advertising. We share information only:
- With the employer who invited you (candidates): your interview recording, transcript, report, and integrity signals go to the workspace that invited you — that is the product. They may share results with their own reviewers through access-controlled links that require a work email, expire after 30 days, and can be revoked at any time.
- With service providers (subprocessors) who help us run SealHire, under data-protection agreements:
| Provider | What they do for us |
|---|---|
| Amazon Web Services (AWS) | Cloud hosting, storage of recordings and data, email delivery |
| Stripe | Payment processing (they hold card data; we don't) |
| OpenAI | AI interview conversation and language processing |
| Anthropic | AI evaluation and language processing |
| Anam / HeyGen (LiveAvatar) | Real-time interviewer avatar video |
| Deepgram | Speech-to-text transcription |
| IP-geolocation services | Approximate location from IP, for integrity context |
We will update this list as providers change; you can request the current list at support@sealhire.ai.
- Within a customer's workspace:teammates and invited reviewers see candidate and job data according to their roles and what's shared with them.
- For legal reasons: when required by law, court order, or to protect the Services, our users, or others.
- In a business transition: if SealHire is involved in a merger, acquisition, or asset sale, personal information may transfer with the business; we will notify you of any change in ownership or control.
We may compile aggregated, de-identified statistics (for example, total interviews conducted); these never identify you.
7. Data retention
| Data | How long |
|---|---|
| Interview video recordings | Per the customer's plan: 30 days (Pilot/Starter), 90 days (Growth), or 12 months (Business) from the interview |
| Interview transcripts and evaluation reports | For the life of the customer's workspace and the role they belong to |
| Candidate sealed profile (the candidate's own record) | Kept for the candidate, free — the candidate owns it and can share or reference it indefinitely |
| Account information | While the account is active, and for a limited period after closure |
| Consent records | As long as the related interview data exists, plus any legally required period |
| Support-assistant conversations and leads | Up to 24 months, so we can follow up and improve support |
| Billing records | As required by tax and accounting law |
| Backups | Deleted data persists in encrypted backups for a limited rotation period before automatic purge |
Customers can request deletion of their workspace data; candidates can exercise rights per Section 10.
8. Security
- Encryption in transit (TLS) and at rest (AES-256).
- Recordings live in private cloud storage — never public; access is via short-lived, expiring signed links.
- Role-based access inside workspaces; reviewer links are work-email-gated, expiring, and revocable.
- One-time email codes and salted password hashes; rate limiting and lockouts on every sign-in path; automatic credential rotation for core infrastructure.
- Our SOC 2 and GDPR compliance programs are in progress — we're happy to walk security teams through our current posture; contact support@sealhire.ai. We do not claim certifications we have not yet completed.
No internet transmission is ever perfectly secure; please use reasonable care with your credentials, and contact us immediately at support@sealhire.ai if you believe your account has been compromised.
9. International transfers
We are based in the United States, and information is processed and stored there (and in other countries where our service providers operate). Where required by law for transfers from regions such as the EEA, UK, or Switzerland, we rely on appropriate safeguards such as Standard Contractual Clauses with our service providers.
10. Your rights
Depending on where you live, you may have rights to access, correct, delete, or export your personal information, to object to or restrict certain processing, and to withdraw consentyou've given.
- To exercise any right: email support@sealhire.ai. We'll verify your identity (usually via your email address) and respond within a reasonable timeframe consistent with applicable law. We will never discriminate against you for exercising your rights. You may use an authorized agent where the law allows; we'll verify the authorization.
- Candidates:because your interview data is controlled by the employer who invited you, requests about a specific hiring process (for example, "delete my interview with Company X") should go to that employer — and we will assist them in honoring it. Your sealed profile is yours: you can access it any time, and you can ask us to delete your candidate account and profile.
- Marketing: unsubscribe links are in every marketing email.
- Consent withdrawal:you can withdraw consent at any time; it won't undo processing that already lawfully happened (for example, an interview you completed remains with the employer under their control).
11. Children
The Services are for working-age adults and are not directed at anyone under 18. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact support@sealhire.ai and we will delete it.
12. Additional notice for U.S. states
In the past 12 months we have collected the categories of personal information described in Section 3 (identifiers; professional information; audio/video; internet activity; approximate geolocation; commercial/billing information; and inferences contained in evaluation reports). We disclose them only as described in Section 6 (service providers; the inviting employer and their reviewers; legal). We do not "sell" or "share" personal information as those terms are defined by the CCPA/CPRA, and we do not use or disclose sensitive personal information beyond the purposes the CCPA permits. We do not have actual knowledge of selling or sharing information of anyone under 16. Residents of California and states with similar laws may exercise the rights in Section 10 without discrimination.
Our Services are not designed to respond to "Do Not Track" browser signals; we don't track you across third-party sites in the first place.
13. The AI support assistant
Our website's support assistant is an AI (it says so up front). To start a conversation it asks for your name, company, and work email; we use these to tailor the conversation, email you a summary afterward, look up whether you already have a SealHire account (so we can help you better), and follow up if you asked us to. Conversations are logged and reviewed to improve support quality. The assistant cannot access candidate interviews and cannot make changes to any account. Don't share sensitive personal information with it — it will ask you not to.
We also automatically record some technical details when you start a conversation: your IP address, an approximate location derived from it (city, region, and country), your browser, operating system, and device type, and how you arrived at our site (the referring page and any campaign parameters in the link you followed). We use this to understand who's interested, route follow-up to the right place, and prevent abuse of the assistant. We do not request your precise GPS location, and we do not use device fingerprinting for the support assistant.
14. Changes to this policy
We may update this policy from time to time. We'll update the "Last updated" date, and for material changes we'll take reasonable steps to notify you (for example, email or an in-product notice). Continued use of the Services after an update means the updated policy applies.
